Privacy Notice
How IA Reports approaches personal information during vehicle appraisal enquiries and assignments.
Last updated: 5 November 2026
1. Information We Receive
When you contact IA Reports, you may provide your name, email address, phone number, location, vehicle details, appraisal purpose and a summary of your request. If you enter an engagement, additional records may be needed, including photographs, valuation reports, market evidence and relevant insurer or business correspondence.
2. Why We Use Information
We use information to respond to enquiries, assess the requested scope, communicate with you, perform agreed appraisal work, prepare reports, administer invoices, manage professional obligations and address questions or disputes about the assignment. We do not promise an appraisal or settlement outcome.
3. Consent and Third Parties
Website operations may involve service providers for hosting, spam prevention, private file storage and email notification. If enabled, those services must be configured under IA Reports’ approved privacy and retention practices. Contact us to ask which providers handle an assignment.
4. Website Forms and Analytics
When active, the enquiry form collects the contact and appraisal details you submit. Optional documents submitted with an enquiry are held in access-restricted hosting storage and are not placed on public website pages. Staff notification emails contain enquiry details and attachment references. Cloudflare Turnstile is used for bot protection; an email delivery provider may be used depending on configured services. Please do not submit unnecessary identity or financial records. Website analytics require a separate approved configuration.
5. Sensitive Documents and Safeguards
If secure upload is enabled, supported documents are stored in a private document store. Access is limited to authorized IA Reports personnel. File scanning, retention and deletion procedures must be established and verified before the service is activated. No internet transmission or storage system is risk-free.
6. Retention and Corrections
Personal information should be retained only for as long as reasonably required for the appraisal, business records or applicable legal obligations, then securely disposed of where appropriate. To ask about records concerning you, request a correction or discuss a privacy concern, use the contact details below. Some records may need to be retained for legal or professional reasons.
