Total-Loss Evidence Checklist

Documents Needed to Dispute a Total-Loss Offer in Ontario

A complete file allows valuation issues to be identified quickly. Start with the insurer's report, then add records that prove the subject vehicle's specifications, pre-loss condition, maintenance and equipment.

Key point: Do not send unrelated personal records, passwords, payment-card information or documents that do not help establish the vehicle or claim valuation.

Essential claim documents

These documents explain the insurer's position and the numbers being disputed.

  • Complete valuation report
  • Written settlement offer
  • Claim number and adjuster contact
  • Proof of loss or settlement breakdown where available
  • Relevant claim correspondence

Vehicle identification and condition

The appraiser needs enough information to identify the vehicle and understand its condition immediately before the loss.

  • VIN and odometer
  • Bill of sale or original purchase documents
  • Build sheet or factory option information
  • Pre-loss photographs where available
  • Interior, exterior and equipment photographs
  • Modification or restoration documentation

Maintenance and market support

Records can support condition and vehicle history, while comparable listings help test the market position.

  • Recent maintenance and repair invoices
  • Tire, brake or major-component records
  • Comparable listings already identified
  • Dealer quotes or replacement searches
  • Specialty equipment receipts where relevant

Frequently asked questions

Do receipts add their full cost to vehicle value?

Usually not. Receipts can support maintenance, condition or equipment, but costs are not automatically added dollar-for-dollar.

What if I do not have pre-loss photographs?

Current photographs, service records, prior advertisements and other records may still help.

Should I send my driver's licence?

Only provide identification when it is required for the assignment and through an appropriate secure method.

Have the insurer valuation reviewed before accepting the offer.
Send the report, settlement amount and basic vehicle details for an initial review.
